Em is a CRM for real estate agents. This page explains, in plain words, what we collect, why, who helps us run Em, and the choices you have. The short version: your book of business is yours. We use it to run Em for you, we never sell it, and you can take it with you or ask us to delete it at any time.
1. Who this covers
Agents and their teams (team leaders and assistants) who sign in to Em. We call you "you."
Your clients and contacts. The people in your Em account are your contacts, not ours. You decide what goes in, and we handle it on your behalf to run Em for you. If you are one of an agent's clients and have a question about your information, the agent is the best first stop, and you can also email us.
2. What we collect
- Your account: your name, email, phone, photo, brokerage, license number, sign-off, and the other profile details you add, plus how you sign in (a password we never see in plain text, an emailed code, or Google).
- What you put in Em: contacts and their details, notes you type or say, emails you forward, BCC, or send through Em, texts you log, files you scan or import, tasks, campaigns and appointments.
- How you use Em: which suggestions you act on or skip, edits you make to drafts (so Em can learn how you write), credits used, and basic technical logs (like browser type and errors) that keep Em running and secure.
- Purchases: when you buy credits, our payment partner Stripe collects your card details. We see that a purchase happened and how much it was, never your full card number.
3. How we use it
- To run Em: file your emails and notes, rank who to reach each day, write drafts, answer your questions, read scanned files, send the emails you approve, and send your morning and Monday emails.
- To learn your preferences within your own account, like how you write, which suggestions you find useful, and what your shorthand means. What Em learns about you stays in your account.
- To improve Em: if you rate one of Em's answers (thumbs up or down), the question, the answer, and any comment you add are shared with the Em team so we can fix what went wrong. Nothing is shared unless you rate an answer.
- To keep Em safe and working: preventing abuse, fixing problems, and testing changes.
- To handle billing, credits, and support, and to tell you about changes to Em.
We do not sell your information or your clients' information, and we don't use it for advertising.
4. AI in Em
Em uses Claude, an AI model made by Anthropic, to read notes and emails, write drafts, and answer questions. To do that, the relevant part of your account (for example, a client's details and recent emails when you ask for a draft) is sent to Anthropic for processing. Anthropic processes it to give Em an answer under its commercial terms, which do not allow it to train its models on that information.
AI can be wrong. Em shows you what it found and asks before changing anything important, and nothing is sent to a client until you press Send.
5a. Google user data
If you choose Continue with Google, Em asks Google only for your basic profile: your name, email address and profile picture. Em does not ask for, read, or store your Gmail, contacts, calendar, Drive files, or anything else in your Google account.
- How we use it: only to sign you in to your Em account, to match you to the invitation you received, and to fill in your name and photo on your profile if they're empty.
- Where it's kept: with your Em account in our database (Supabase), for as long as your account is open.
- Sharing: we don't share, sell, or transfer Google user data to anyone, and we don't use it for advertising or to train AI models. It is not sent to Anthropic.
- Removing it: you can disconnect Em at any time from your Google Account (Security, then Third party apps). Closing your Em account deletes this information within 30 days.
Em's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
6. Emails to your clients
Emails Em sends for you come from your own name and go only where you send them. Campaign emails include an unsubscribe link, and Em stops sending to anyone who unsubscribes, replies, or asks not to be contacted. Em may note when a client opens an email or clicks a link it sent, so you know when to follow up.
8. How long we keep it
We keep your account and its contents while your account is open. You can download everything in it at any time (Profile, then Download everything). You can close your account yourself (Profile, then Close my account) or ask us to delete your information; either way we delete it within 30 days, except where we need to keep a record by law (like payment records, kept without anything about your clients). Backups age out on their own schedule after that.
9. Keeping it safe
Information travels encrypted, each account can only reach its own data, and access inside Em is limited to what's needed to run it and help you. No system is perfect, so if we ever learn of a breach that affects your information, we'll tell you promptly.
10. Your choices
- See and edit your information in Em at any time, and download your contacts.
- Turn off the morning and Monday emails, and the style learning, on your profile.
- Ask us for a copy of your information, to correct it, or to delete it, by emailing support@emthecrm.com.
Depending on where you live, you may have more rights under laws like the California Consumer Privacy Act or the Texas Data Privacy and Security Act. We honor those requests, and we won't treat you differently for making one.
11. Children
Em is for working real estate professionals and isn't meant for anyone under 18.
12. Changes to this policy
If we change this policy in a way that matters, we'll update the date at the top and let you know in Em or by email before the change takes effect.
